  •              business goals and objectives
  1. Identify the different functions and the processes in the skincare business and evaluate their interrelationship in meeting the common business goals
  • There are some of the business function and process in the skincare business that help it to meet its goals and objectives.
  1. Procurement, logistics and distribution

    • b)         Show a process map explaining how you integrate different activities in ordering process to achieve the organisation’s objectives in getting quality raw materials within time.
  • Key
  • The initial step involves acquisition of the raw material from the supplier. This step is quit important since it helps to ensure that the GLO secure the raw materials required in order to produce quality products. After the raw materials are acquired the next step involves the transformation of the raw material into finished products. In relation to this, the management needs to ensure that during this process all the necessary standard are followed in production of the finished goods. Moreover, the management must ensure that they improve their marketing techniques; this is to enable the company to actively compete in the industry. Finally the last business process involves delivering of the finished products to the customers. In relation to this the business must ensure that they improve on their after sales services.
  • The green symbol represents the various input material that the needed in the production of the several of skin care products.
  • The arrow points the direction of the workflow of the business process
  • The blue box represents the various activities that must be performed in each step.
  • The red symbol represents end of the business process in this case the end user of the product is the customer.
  1. Identify and evaluate the common outputs expected from the above business.
  • There are various businesses outputs expected from the skin care company. These outputs can be broadly classified into category products, and services.
  • Products
  • These refers to the various tangible output produced by the company. These include products such as Bremen’s skin cream, cataphil moisturising cream among others. However, the management of company needs to ensure that they carry out product differentiation. This is to enable their customer differentiate the company products from other competitors. In addition, the company needs to ensure that they improve on the quality they are offering the customers. This can help to ensure that the company continues to increase on the market share.
  • Services
  • These refer to the various intangible products that the company offers to its customers. These intangible products include the manicure, pedicure wax treatment among others. In relation to this the company also need to ensure that they differentiate their products from other competitors. This can help to ensure that the customers are able to differentiate the company products.
  1. Suggest new plans in strategic, tactical and operational level that could facilitate in achieving the business goals set by you.
  • The following are some of the ways that can help to improve the strategic, tactical and operational levels of the business in order to facilitate achieving of the goals.
  1. Defining performance standard
  • In order to improve on the various operation of the business, it is important for the managers of the company to set various standards that the employee must meet. These standards can be number of products produced per day and their respective specifications
  1. Collection and analysis of performance evaluation data.
  • In order to ensure that the company achieves its various goals, it is important for the management to collect and analysis performance evaluation data. This can also help that the management to indentify the various areas that the company is not doing well.
  1. Identification of a good reward system.
  • The management of the company also needs to indentify a good reward system. This can help to ensure that the workers are motivated at each level of production. In addition, proper reward system can help to ensure that the company meets its objectives since it can help to enhance the team spirit.
  1. Training or dropping the non-performers
  • In order to ensure that the company improves in the tactical and operational levels it is important for the management to carry out training to its employee. Training can help to ensure that the workers are equipped with the necessary knowledge required in the production. In addition the management may also drop the non-performing employee.
  1. Write business objectives for the business of GLO for the next 12 months which are Specific, Measurable, Achievable, Realistic and Time based.
  2. Improving the operation efficiency
  • In relation to this the management should ensure that they establish the actual number of workers required in every department. This can help the management to indentify the number of none performing departments. This object should take a period of one month.
  • The management of the company needs to ensure that they increase their employee satisfaction. This can help to ensure that the employees are highly motivated to continue working for the company. In addition improving the employee satisfaction can help to ensure that the employee produce quality products and services. (Gitman, & McDaniel, 2009, p.273).
  • In order to achieve this objective the management of the company needs to ensure that they continue offering quality products to their customers. Most importantly the management of the company need to ensure that they explore the possibility of venturing in another market outside London.
  • The management of the company also needs to ensure that they organise a training for their work force. This can help to equip the employee with the necessary required in order to produce quality goods and services.
  • c.) Recommend appropriate business systems, which will help GLO, achieve its objectives efficiently in terms of time, cost and the quality.
  • It is, generally known that each of the successful organizations today identified ways in which it could maximize and position itself in an advantageous position in the operations system and delivery avenues of the business entity in order to address specific customer specifications. In the light of that, it is important that we the manufacturers of GLO need to emulate the same in our operations. Through the emergence of Information Technology, business operations are more on the vantage point. With a simple click of the mouse, real time information passed across that helps in fast decision-making (Madura, 2007, P.6).
I will there fore recommend deployment of information technology systems because this will improve information processing that will come with several other benefits in line with the objectives of the company, that are tailored towards positioning GLO as superior brand. Some of these benefits include; lower capital costs management, efficiency in time management, minimizes burden and hassles in the workplace as well as improved quality resulting from computerization of GLO’s production processes (Madura, 2007, P.6).
  • d.) Explain how could you monitor the operation plan designed by you for the “GLO” so that plans do not deviate from their set goals.
  • While many business owners draw marketing plans to secure business loans, the plan can be an essential tool for monitoring and controlling business operations. Because GLO is a developing brand it is important that operation plan for GLO as a brand should be evaluated on a regular basis, especially if a business is expanding or developing new products rapidly like GLO brand. In this scenario I recommend aligning GLO’s review dates with the short-term and long-term objectives profiled in the original operations strategic plan and carry out a comparative analysis so that the company does not deviate from the set objectives and goals.
  • On the understanding that this is an ongoing operation, the review should be carried out on monthly basis until there is a positive response from the market. Since the operations plan contains measurable goals, I will develop a tracking system to monitor the status on regular basis. The tracking system will monitor key elements of the plan frequently; these key elements of the plan include research on GLO’s market and competition as well as sales projections (Power, 2009, p.21).
  • LO3 Monitor appropriate systems to improve organizational performance
  1. Improving the employee satisfaction
  1. Increasing on the market share
  1. Employee training
  1. Recommend a reliable quality system for GLO, which meet the company goals of high level of customer satisfaction and staff motivation.
  • I will recommend implementation of quality management systems that will improve performance and raise the level of customer satisfaction with GLO as a brand. Fort its effectiveness to be felt, the systems implementation will have specific objectives that are directly related to the company’s goals concerning GLO as a brand. If the company defines these goals precisely, it will be possible to identify what needs to be done in order to achieve the set target. Through the quality management system, it can indicate examination and measurements that establish problems and assist in enhancing output quality for GLO in order to improve customers’ satisfaction ( Kuballa, 2007, p.4).
  • Another significant role that will be played my implementation of the quality management system is quality improvement of GLO. This quality will come in three components. High quality indicates high accuracy, compliance with applicable reputational standards and improved customer satisfaction. The overall objective of the system will be to measure each component and attain improvements. The system will ensure that GLO testing measures accuracy and adherence to standards while functional testing will indicate whether the GLO meet customer satisfaction ( Kuballa, 2007, p.4).
  • b.) Explain how the quality culture could help the customer-oriented organization like GLO monitor, evaluate and develop their quality control processes.
  • A quality management system will play a very significant role in influencing the culture of the organization. A quality-oriented organizational culture recognizes the elements of quality that the system weighs and puts efforts for on-going improvement. This culture will orient itself toward the customers and satisfying their needs. If there is a quality issue in GLO as a product, employees will be ready to assume the responsibility for possible errors and concentrate on not repeating the same in the future.
  • More often than not cheap prices may do well in the short term, but it is the GLO quality that will make sure it sustains the business in long-term basis. Dedication to quality is a culture to be purposely developed, cultivated and regularly watched, if GLO as a brand is to have a long-term success. The quality culture should come naturally because it should trickle from the top of the organization’ management down to bottom where the junior staff is. Unless the top brass in management have an unwavering dedication to quality, similarly it cannot be expected to boil down to the lower cadre of the organization (Oakland & Porter, 2003, p.13).
  • c.) Signify the importance of changes in the dynamic business environment and recommend appropriate changes for the GLO to stay ahead in the competitive market and meet the business goals and objectives.
  • In the ever-changing dynamics in business environment, the power to modify and implement new strategies fast enough is important. Economic strains, industry changes, regulatory stipulations and changes in customer’s preference can influence GLO’s ability to sell as a brand. Dynamic business strategies will assist in making sure that the business reacts in the appropriate way to variations that may represent both significant opportunities and fresh threats to its operations. For GLO as a brand to stay ahead in the competitive market as well as meet the business goals and objectives, the management needs to do a few changes, one, the management will have to remain alert to competitive forces and adjust its business strategies accordingly. Majority of companies keeps on adjusting to their markets by maintaining dynamics as well as changing strategies as dictated by the business environments (Czinkota,2008,p.249).
  • Secondly, the organization will need strategies that are more dynamic and that at as living documents to direct the organization's activities on a continuous basis, in this way, not only will the organization, remain competitive but GLO as brand will make it possible for the organization to meet its objectives. Thirdly the company will need to monitor its environment and put mechanisms in place to collect, sample, evaluate and respond to information from numerous sources from the inside of the company as well as from the outside (Czinkota, 2008,p.249).
  • d)Identify and explain the implication of the changes you have proposed in the previous task.
  • Once the management of GLO keeps track on the changes in the market they will be able to adjust the prices and quality of the products accordingly. Significantly, adjusting price will ensure that GLO maintains its customers since they will not have to run and search for other companies with lower prices. Considering the second change, it entails involving customers through questionnaires and interviews in order to understand their needs. Generally, this will help improve the product quality and enhance customer satisfaction thus increasing competitive advantage (Naylor, 2002, p.5). If the management of GLO implements strategies which are dynamic in the company, it implies that the company will maintain ma fair and a competitive ground therefore it will be hard for other companies to rule the market. Most importantly, the management of GLO needs to introduce methods of motivating employees to ensure that they perform better. Basing on this change, its effectiveness can be noted in that motivation gives the employees the morale to perform better. Therefore the organization will increase its competitive advantage.
  • LO 4 Manage health and safety in the workplace
  • a) Carry out the Health and safety Risk assessment of the Administrative Office of “GLO” as per the relevant legislations and regulations.
  • The legislation requires every organization to consider health and safety measures accordingly. In this case, the most important aspect is to determine whether GLO understands the legislative requirements on health and safety (Hines, 2005, p.18). The other assessment aims at determining whether GLO maintains health and safety to the required standard. In addition the assessment will also base on determining whether GLO has installed proper measures of preventing the common health and safety risks and the strategies implemented to ensure that occurrence of such risks is avoided in future. The administrative office of GLO should understand that the products of the company should not pose any risks to the client as well. The assessment will also cover on employee safety following the requirement of the European legislation that employees in every organization should be protected against safety and health risks. Therefore, it is important to determine whether the administration has implemented any measures to inspect the safety of the products to ensure that they are safe for consumption. Client safety upon products is in reference to the legislation that consumer protection should be maintained in every organization.
  • b) Demonstrate how effectively health and safety regulations and legislation are applied in the above work situations.
  • The administrative office of GLO needs to ensure that health and safety in the organization is maintained. For instance, the health and safety act of 1974 propose that safety and health needs to be maintained following the fact that employees are usually exposed to hazardous substances and chemicals (Tleis, 2008, p.517). The other requirement of the legislation pertaining health and safety in an organization is that the products of the organization should pass quality test to ensure that they do not pose any health risks to the clients. The electricity at work regulation of 1989 serves to ensure that the organization has observed policies and rules regarding the risks which might arise because of electricity problems. Generally, GLO should carry out a thorough test of the skin care products. In addition, any changes made in the manufacturing of these products should be done according to the required standards. Considering the fact that GLO deals with chemicals for different treatments, the workers should be provided with uniforms and overalls for protection. The management of health and safety at work regulations 1999 serves to ensure that every employer protects the employees from exposure of work risks. Moreover, following the legislative requirement of the European Union, GLO needs to ensure that the employees are provided with the facilities required to ensure maximum protection from accidents in workplace.
  • c) Carry out a systematic review of health and safety policies and procedures as per the rules, regulations and legislations.
  • The administration office of GLO needs to identify the basic requirements of the legislation on health and safety. The review on GLO will include determining whether the administrative office has implemented systems for identifying the most probable health and safety risks in the organization. The review of GLO will also cover the measures that the administration office has taken following the risks which might have occurred in the organization in regard to health and safety. Moreover, the policies of the organization will be assed to find out whether they have addressed issues regarding to health and safety of employees and clients pertaining the common risks. A further review of the policies and regulations of GLO will be carried out to asses whether the policies align with the requirements of legislation concerning matters of health and safety. The review will also aid in determining how the organization applies the policies and regulations on health and the improvements which the administrative office of GLO is planning to undertake to ensure that all aspects pertaining to health and safety of employees in regard to the legislative requirements (Hines, 2005, p.18).
  • d) Demonstrate how practical applications of health and safety policies and procedures could be carried out in the company’s office environment.
  • Initially, the management of the organization should seek to identify the possible risks including the one which have ever occurred in the organization in relation to safety and health. Implementing policies which restrict employees from participating in events which can lead to exposure of health and safety risks is important (Naylor, 2002, p.5). For example, the management of the organization should restrict employees from handing chemicals for manufacturing the beauty products without proper guidance. Every sector should be controlled by a skilled employee who should guide the others. Generally, this will facilitate in implementing systems which will help prevent such risks from occurring thus reducing the cost which the organization might incur if the risks occurs. The other important aspect is that the management needs to understand and apply the requirements of legislation in relation to health and safety. The management of GLO needs to have alternative measures to apply if the risks cannot be avoided. Most importantly, the management should implement training programs to help the employees gain knowledge on preventing and managing risks.
